Although it's possible that users running Windows emulation on a MAC can run this program, it is not suggested. This has not been tested, and it is unknown what problems may occur.

Question: Do I need a modem? What speed?

If you will be filling electronically through the FTP, you need an Internet access. Recommended modem speed is 28.8 or faster.

Question: Will APS work on my laptop?

Yes, APS for Windows will work on a laptop. If you are running software from a LAN, you must connect to the LAN in order to use the software.

Question: Can the program be placed on my local LAN for multiple users?

Yes. The software can be run from either a single machine, or be multiple users over a LAN.

Question: I already have a BBS pin and password using the old version of APS3.1. Do I need a new one for APS 4.0?

Question: Can I convert all of my APS 3.1 files into the new software?

There are no plans to convert APS 3.1 files. Users can maintain those files in APS 3.1 and enter all new applications in APS 4.0 for Windows. ARC does not accept and process any applications using APS 3.1 effective October 31, 2000.

Question: How many agreements should I submit to gain access to FTP, if I have more than one user?

Each legal entity requires ONE agreement with, ONE APS Management ID, ONE APS Install Key, ONE APS User ID for communication. You may list many APS Agent IDs in the agreement if you are installing the software on a LAN and all APS Agent IDs will have access to the applications. It is recommended that you set up only one system administration to control the access rights of each APS Agent ID.

Question: I do not have access to the Internet, can I use the software anyway?

Yes. You may use the software to prepare and print the applications. If you submit only the paper application, ARC will need to re-enter the data for application. The process may have additional surcharge of $100.00 for this type of application. If you submit the paper application along with a diskette, there is no additional surcharge since ARC will download the data from the diskette.

Question: Do I need an agreement if I do not submit the applications via FTP?

You are not required to execute an agreement if you submit only paper with diskette application, which can be prepared from the software. Diskette application also requires a hard copy of paper application with notarization and signature of an owner or officer of the agent.

Question: I got message "Log In Failed" when I try to log in the downloaded APS 4.0.

For the first time log in, user ID and password should be "ARCAPS". It is recommended that the new user set up his/her own log-in user ID and deletes the "ARCAPS" user ID. ARC has no control over this log-in user ID. For information on how to set up a new user ID, see Help menu in the software.

Question: I can not update the User ID in Communications Tab. All fields are inactive.

Click at option "Paper/Diskette Only" and come back to click at "Internet FTP Communications". Now you can enter the User ID as you exactly set up in the Supplementary Agreement Covering Use of ARC's Electronic Application Processing System (APS). Please note that this user ID is for communication via FTP, it can be different from log-in user ID or the same as log-in user ID. It is up to the agent to differentiate the log-in user ID from the communication ID.

Question: How can I submit the application via the Internet using APS?

Only ARC accredited agent can submit the application electronically via the Internet. Non-accredited agents must submit the application in diskette format with paper signed/notarized.

In order to submit applications electronically via the Internet, you must complete the supplementary Agreement Covering Use of ARC's Electronics Application Processing System (APS). This form is attached to the Download page on the ARC Accreditation Services Web Site. The Supplementary Agreement must be signed by an owner, or officer if the Agent and returned to ARC. It must also include key access data, including Management ID and APS Install Key; both numbers generated during the APS 4.0 software download. ARC will grant you a communication authorization code that will put them in the software. Refer to the HELP menu for further instruction.

In addition, if you plan to request Conditional Approval status, you must also submit to ARC the newly revised Conditional Approval Agreement for APS 4.0, which can be found on the ARC Web Site as ARC Form 359. An owner or officer of the Agent must also sign this form.

Question: I download the software, located the APSSETUP and it shows "14 files unzipped successfully". I can not locate the Client Setup file.

Usually, the users are not aware of unzipping the file to the default directory (C:Windows/Temp). Try using the Windows Start> Search/Find> Files or Folder.

Question: During the download, I got this error message "C:\WINDOWS\SYSTEM\RICHED32.DLL, An access violation occurred while copying the file. Abort, Retry, Ignore?"

It is normal to see an access violation message, choose "Ignore" then continue to download.

Question: I complete the download; I can not log-in to the software. What is my User ID and Password?

First time user will have generic user ID and password. Try "ARCAPS" for both user ID and password.

Question: What are the Agent ID and HOL A C N in the Contact Information?

Once the user accesses into the system by using the generic User ID and Password (ARCAPS), the system will ask the user to setup the Agent ID. The agent ID is 8 numeric digits that the agents determine by themselves. ARC does not assign this information. The HOL A C N is Home Office Location Agency Code Number (ARC number) of the agent. If the agent has no ARC number, they can leave the field blank and continue using the software as a tool to complete the application.

Question: Where can I find the Management ID and Install Key as indicated in the Supplementary Agreement?

The APS Management ID and Install Key are assigned automatically each time you download the software from either the Internet or the CD-ROM. This information is in the Help menu of the APS, click on About APS Management menu.

Question: I want my colleagues to be able to complete the applications using the software that is installed on the LAN, but I do not want my colleagues to be able to submit the application. What can I do?

APS for Windows allows you to limit user's ability to mark and submit applications. Go to Tools, System Administration and User Admin. Set up a new log-in user ID and select certain numbers of right that you want this user to be able to do with the applications.

Question: I can not enter the fax number in the prepare section of the application?

The fax number fields allows only 10 digits with no dash, space or parenthesis.

Question: Can I e-mail the forms in MSWord directly to you without using the software?

No. APS is the electronic application processing system for reviewing applications. ARC can not process the application through the MSWord document.

Question: I had downloaded APS into my system and submitted applications via the FTP. I have just changed a new PC and download the APS from the Internet. What will the effect be to my access and the applications?

Each time you download the APS from either the Internet or CD-ROM, the management ID and Install Key which serves as a verification of your access to FTP has changed. The Supplementary Agreement Covering Use of APS that you signed and the authorization keys that ARC has setup is no longer valid. A new Supplementary Agreement Covering Use of APS, which contains the new software information, must be submitted and ARC needs to assign the new authorization keys for your access to FTP.

Any applications that had been submitted using the previous management ID, if received by the FTP, are being processed electronically but you will not be able to receive any update information about your application status via the FTP. Therefore, it is recommended to inform ARC of your PC change and reinstallation.

Question: Can I transfer the word document application back to the software?
-
No. If you save the application in MSWord document format by using File >Save as, this will not save the application in the software. Hence, you can not do anything with that document from the software. The appropriate way of saving the application to the software is to exit out of MSWord completely and the document will be transferred to the APS automatically. The system will prompt you to save the word document to the software. Refer to the HELP menu for further information.

Question: Can I send any attachment separately (e.g. Personal History Form) without sending the entire application again?

No, because applications are actually sent as packages, all forms and attachments are sent at the same time.

Question: What happens if my system crashes in the middle of completing or sending an application?

If the data has been saved, you can reboot your computer and complete the task. Otherwise, you would have to start again from the previously saved application. If the system crashes while sending the application, you should reboot the computer, re-mark the application for submission and re-send it.

Question: I submitted an Ownership Change application; the application status shows as "Submitted". How would I know if my application reaches ARC?

First of all, an Ownership Change application is not accepted via FTP due to the limitation of the electronic signature in the Supplementary Agreement Covering Use of APS. Your application should be "Returned" if you click at Tools, Send/Receive Data to see the update status of your application. Only a processing diskette with a notarized, signed paper application is accepted.
